What we collect
To verify visitors at the gate the system stores the visitor's name, mobile number, e-mail, company, purpose of visit, vehicle details, ID type and number, photos and documents uploaded by the host member or the visitor, and the date and time of each entry and exit. For staff accounts (admins, members and security guards) it stores name, e-mail, mobile, flat/unit and sign-in times.
How it is used
Only to approve visits, issue entry passes, let security verify visitors, keep an entry and exit record for safety, and send related e-mails (pass link, approval, arrival notice). Data is not sold or used for advertising.
Camera
The Android app uses the camera only when a security guard scans a visitor's QR code, or when a user chooses to take a photo to upload. Images used for scanning are processed on the phone and are not stored.
Who can see it
Admins and security guards of the organisation can see visitor details. Members see only the visitors they invited. A visitor sees their own pass through a private link. Data is stored on the organisation's own web hosting.
Retention and deletion
Records are kept as long as the organisation needs them for security. To ask for your data to be corrected or deleted, contact the organisation's administrator or info@hisofttechnology.com.
